ForumCraft AI ("we," "us," or "our") is a software platform designed to help peer forum moderators, forum officers, and chapter administrators prepare for and facilitate peer forum meetings. Account information: When you register, we collect your name, email address, and password (stored as a hashed value). If you sign in via OAuth, we receive your name and email from the identity provider.
Forum data: We store the forum name, meeting agendas, accountability commitments, journal entries, member names, and any other content you create inside the platform. This data is tied to your account and your forum.
Usage data: We collect information about how you use the platform — pages visited, features used, AI messages sent — to improve the product and enforce tier limits.
Payment data: Payments are processed by Stripe. We store only your Stripe customer ID and subscription ID. We never store full card numbers or CVV codes.
Communications: If you contact us by email or submit feedback through the platform, we retain those communications.
We do not sell your personal data to third parties. We do not use your forum content to train AI models without your explicit consent.
When you use AI-powered features (agenda generation, icebreaker suggestions, facilitation notes), your prompts and forum context are sent to our AI provider (Anthropic or OpenAI) to generate responses. These providers process your data under their own privacy policies and data processing agreements. We do not share member names or personally identifiable information with AI providers beyond what you include in your prompts.
We retain your account data for as long as your account is active. If you delete your account, we will delete your personal data within 30 days, except where we are required to retain it for legal or financial compliance purposes. Forum content (agendas, journal entries, commitments) is deleted with your account.
We use industry-standard security measures including TLS encryption in transit, hashed passwords, and access controls. No method of transmission over the internet is 100% secure. We encourage you to use a strong, unique password and to contact us immediately if you suspect unauthorized access to your account.
Field-Level Encryption (Vaulted™): Sensitive forum content — including Issue Clearing session transcripts, meeting phase notes, member pre-fill responses, conflict check details, and Forum Journal entries — is encrypted at rest using AES-256-GCM with a per-deployment key stored outside the database. This means that even in the event of a database breach, this content cannot be read without the encryption key. This protection is part of our Vaulted™ commitment: what’s said in the room stays in the room.
Depending on your jurisdiction, you may have the right to access, correct, export, or delete your personal data. To exercise any of these rights, email us at [email protected]. We will respond within 30 days.
We use session cookies to keep you logged in and preference cookies to remember your settings (such as your A/B test variant). We do not use third-party advertising cookies. You can disable cookies in your browser settings, but some features of the platform may not function correctly without them.
We may update this policy from time to time. When we make material changes, we will notify you by email or by displaying a notice on the platform. Your continued use of ForumCraft AI after changes take effect constitutes your acceptance of the updated policy.
